Sales Administrator

The opportunity and about the role:

Reporting to the Bids & Tenders Manager, this position plays a key role in HCA’s tenders and bids process through compiling and communicating incoming opportunities, including coordinating the process of assessing and driving opportunities in alignment with HCA’s strategy.

The position will also be responsible for maintaining internal reporting tools/information using HCA’s bids and tenders coordination and reporting system.

Key Responsibilities include:

  • Manage the tenders inbox and associated portals to ensure all opportunities and updated information is communicated to internal stakeholders in a timely manner
  • Assist in proactively identifying opportunities which align with HCA strategy and values
  • Maintain reporting of tender program, including pipeline, in progress, and win/loss reporting
  • Managing administrative requirements of bids and tenders including scheduling and booking meetings, drafting meeting agendas and writing of meeting minutes where necessary
  • Assist the Bids & Tenders Manager to coordinate and collate responses from both the tenders team and key stakeholders across the business to ensure tender responses are complete and meet submission compliance requirements

What you will bring to the role:

A strong communicator, your experience and well-developed problem solving skills have provided you an outcome-focused, systematic approach to finding solutions and delivering on time frames required.
You’re confident working under pressure, juggling conflicting priorities as they arise, must have tender program experience and ideally you will have bids, tenders or sales proposal writing experience.

Skills and Qualifications

  • High level stakeholder management skills
  • Highly organised in planning and scheduling competing tasks
  • Proven ability to support administration of business proposals and processes
  • High quality written and communication skills
  • Strong IT and MS Office skills
  • Ability to work efficiently to meet rigid deadline submissions

Experience and Education

  • (Mandatory) Experience working within a tender program and proven experience coordinating tender responses
  • (Mandatory) Experience working in an administration and/or coordination and internal reporting role
  • (Preferable) Experience writing tenders and bids responses.
  • (Preferable) Experience using a sales reporting program such as Monday or Salesforce
  • (Preferable) Tertiary qualifications within a Business related discipline
