Administration and Support Coordinator

Healthcare Australia (HCA) is Australia’s largest specialist healthcare workforce provider. We are a major provider of healthcare services across Australia, including allied health, primary care, recruitment, NDIS, care services, and training.

We are seeking a fabulous new team member to join our Allied Health team as an Administration & Support Coordinator. Supporting our Speech Pathology, Podiatry and Dietetics services, you’ll play a key role in keeping operations running smoothly while delivering high-quality support to clinicians, clients, and aged care facilities.

You’ll be the go-to person behind the scenes, managing the flow of CDM referrals, supporting billing and compliance processes, and coordinating with a wide range of stakeholders. Acting as a key liaison with Residential Aged Care Facilities, you’ll help ensure seamless service delivery while identifying opportunities to improve efficiency and outcomes.

What you’ll be doing:

  • Supporting the coordination and processing of CDM referrals, including managing queries and assisting with billing.
  • Liaising with aged care facilities, clinicians, and internal stakeholders to coordinate care and services.
  • Maintaining accurate client records and databases, ensuring Medicare billing compliance.
  • Assisting with clinician rostering and scheduling activities.
  • Preparing reports to support operational performance and decision-making.
  • Providing systems support to clinicians and contributing to process improvements and ad-hoc projects.
  • This is a fast-paced role ideal for someone who enjoys variety, takes ownership, and thrives in a collaborative environment.
  • Driving initiatives to increase the utilisation of CDM referrals by our clients.

Let’s talk about you:

We’re looking for someone with experience in an administration-heavy or customer service environment, ideally within healthcare or a similar fast-paced setting. While we’ll provide full training, our best team members bring strong attention to detail, confidence working across systems, and the ability to juggle multiple priorities with ease.
