Administration Officer

Healthcare Australia (HCA) is a major provider of healthcare services across Australia, including allied health, primary care, recruitment, NDIS, care services, and training.   

In December 2024, we began providing health, mental health, and wellbeing services across the onshore Immigration Detention network. Our team of nurses, general practitioners, and allied health professionals offer a range of healthcare services, including health assessments, chronic disease management, health promotion, wound management, immunizations, and other primary health interventions.  HCA also launched a 24/7 Virtual Care Centre (VCC), offering remote healthcare through telehealth and video consultations to enhance onsite care for detainees.

Reporting to the Health Services Manager, this role is the first point of contact for stakeholders and plays a key part in keeping our health service running smoothly. You will manage a variety of administrative tasks, including scheduling appointments, coordinating staff travel and accommodation, maintaining records, and liaising with internal and external health providers.

This position requires high attention to detail, excellent organisational skills, and the ability to work both independently and collaboratively within a multidisciplinary team.

Key Responsibilities

  • Provide administrative and business systems support for the day-to-day operations of the health service.
  • Manage incoming enquiries (phone, email, face-to-face) professionally and confidentially.
  • Coordinate appointments, room bookings, and health-related scheduling (onsite, offsite, and telehealth).
  • Maintain detainee records and ensure accurate data entry in electronic health systems.
  • Arrange external health provider appointments, transport, and follow-up requirements.
  • Support staff orientation, accommodation, and travel needs.
  • Prepare reports, maintain KPI data, and support quality improvement activities.
  • Manage office facilities, supplies, and equipment servicing.

We’re looking for someone who can balance competing priorities with previous experience in administration or office support roles. You will bring:

  • Strong interpersonal and communication skills, with the ability to engage effectively with a wide range of stakeholders.
  • Excellent organisational and time management skills.
  • Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook).
  • A proactive, solution-focused approach with high attention to detail.
  • Ability to work both independently and as part of a team.
  • Experience with databases and record management (desirable).
