Position Description
The role of Administration/Reception Assistant is to be a confident, welcoming ‘face of our business’, as the daily support to the Receptionist and Administration team, working in the administration and reception area on a daily basis welcoming staff, clients and visitors, as well as taking and directing incoming calls. To ensure timely and competent completion of all administrative tasks to ensure that the business runs smoothly. This role requires a friendly demeanour for customer interaction and the desire to provide quality service.

Responsibilities

  • Customer service, answering and direction of all incoming telephone and email enquiries
  • Provide a strong customer service focus both face to face and by telephone
  • Data entry and general administrative tasks
  • Reception/Admin inbox management
  • Printing and collating of resources
  • Creation of administration and student files
  • Coordinate the handling of incoming and outgoing mail
  • Adhere to EmployEase enrolment procedures ensuring all student files are compliant and complete prior to course completion
  • Ensure a professional and clean reception area at all times
  • To work within regulatory and legislative requirements as outlined in Employ-Ease Staff Handbook

Duties

  • Welcome all clients and students at reception area
  • Reception duties, including incoming calls, email enquiries and greeting visitors
  • Assist and support all new and current students with a range of enquiries
  • Collection and distribution of daily mail
  • Document/form preparation, printing and distribution
  • Monitor office and training room supplies
  • Updating student database and files
  • LMS (Learner Management System) student group creation, maintenance and student support
  • Processing class transfers, class rebookings
  • Processing of Police Checks and Working with Children Checks
  • Laminating, filing and photocopying
  • Archiving
  • Assist the Administration department with any general administration tasks, as directed by the Administration Manager

The successful candidate will possess the following key attributes:

  • Bright and friendly demeanour, with a willingness to assist with all enquiries
  • A strong desire to provide outstanding customer service and support to students and staff at all times
  • Strong Microsoft Outlook, Excel and Word skills
  • Ability to multi-task on a daily basis and the ability to prioritise competing tasks
  • Confident communication, customer service, interpersonal, time management and organisational skills
  • High level communication skills, both written and verbal
  • Enjoy working within a strong, supportive team environment
  • Data entry and general administrative duties
  • The ability to relate to people from a diverse range of backgrounds and cultures
  • Good problem-solving skills
